About the Role
Sitting within the Shared Services leadership team, we are seeking a highly organised and proactive Team Manager, Contract Management Support Services to manage a centralised contract management administrative team. This team provides specialist administrative support for contract managers, including the Business Connect Contract Manager, who oversees a portfolio of contracts, as well as other Contract Managers across Sydney Water.
Key Responsibilities:
- Ensure accurate and timely contract administration processing, meeting all risk, audit, compliance, and service requirements.
- Manage team performance against key KPIs, such as PO after invoice and on-time payments.
- Oversee escalated contract admin enquiries, ensuring adherence to Service Level Agreements (SLAs).
- Monitor and report on business outcomes within the area of accountability.
- Allocate team resources to manage variable workloads and ensure workforce resource requirements are met.
- Provide training and coaching to equip the team with the skills needed to deliver high-quality, customer-focused service.
- Measure and monitor team performance, taking proactive actions to address any shortfalls in meeting SLAs, KPIs, and behavioural standards.
- Drive continuous improvement initiatives, challenging existing processes and fostering a mindset of continuous improvement within the team.
- Manage contract administration tasks, including contract creation, updates, appraisals, variations, payment schedules, closures, and expiry management.
- Create, update, and manage work instructions, procedures, and processes to ensure consistent ways of working across the team.
- Support customers to ensure effective operational delivery and understanding of contract management practices.
Skills & Experience:
- Outstanding stakeholder management capabilities, including the ability to engage, build rapport, liaise, and advocate for contract management processes.
- Proven ability to manage a team to deliver high-quality services and excellent customer service.
- Highly effective people management, stakeholder management, and influencing skills.
- High proficiency in SAP ARIBA and S/4 HANA.
- Demonstrated ability to drive process improvements with measurable results.
- Proven understanding of procurement and contracts standards and procedures, as well as financial delegation.
- A minimum of 5 years’ experience, with at least 3 years in a team leader or manager role, leading a team in the delivery of operational and transactional processes in a large organisation.
