About the role

Reporting to the Business Systems Improvement Manager, this Document and System Controller role will perform, maintain and continuously improve document and system administration for Sydney Water’s Program Delivery division which manages a large program of Sydney Water’s infrastructure asset design, construction and maintenance works.

This role provides direct support and guidance to both SW internal and external project delivery partner personnel over a wide range of systems and processes, ensuring quality document control and system data that enables efficient Program Delivery operations.

Furthermore, this position will work closely with Analysts in the same BSI Team to suggest, enable, implement and maintain various business system improvements.

The role responsibilities include but are not limited to;

  • Performing system administrator functions on various IT applications including:
  • Onboarding and exiting of internal and external staff
  • Project folder creation and assigning of personnel to projects
  • Troubleshooting of user issues and defect escalation
  • Sending out communications to internal and external staff
  • Working with project teams to ensure system data integrity
  • Performing reporting requirements and follow up on overdue actions
  • Maintenance of the controlled document register and repositories in the Sydney Water Information Management System (SWIM) as well as secondary document repositories
  • Performing archiving of critical project records into SWIM folders upon the completion of a project
  • Further definition and standardisation of P4S document control methodologies and processes
  • Onboarding education of new staff to SW P4S structure, systems and ways of working
  • Manage Alerts (Safety/Environment/Quality/Communications)
  • Distribute Business System Improvement communications and training manuals
  • Assist internal and external stakeholders with system queries and training
  • Work with the Senior BSI Analysts to assist and/or run BSI change initiatives as required, including process mapping, user acceptance testing and system roll-out.

 

About you

  • Tertiary qualification in business/records admin, engineering, IT or related field or experience deemed equivalent.
  • 3+ years’ work experience in a similar role within a similar industry
  • Demonstrated experience in systems administration and document control
  • Articulate communication and writing skills
  • Attention to detail producing quality outputs
  • Ability to work effectively in a large team
  • Providing strong customer service whilst also being able to extract successful outcomes from others
  • Discipline to follow and enforce standardised ways of working
  • Strong IT skills with an aptitude for learning new systems
  • Previous experience using specialised software applications including or similar to: SWDelivery Portal, InEight Document, SWIM, MS - Word, Excel, Visio, SharePoint, Forms, Power Apps, Power BI, etc.
  • Ability to prioritise workload
  • Possess a good end-to-end understanding of the delivery of infrastructure projects
  • Capable of performing data analysis and demonstrating results
  • Strong problem-solving skills to find root causes and to utilise a first principles approach with attention to detail
