Executive Assistant - People & Culture

  • Support the General Manager in People & Culture and their leadership team to set our function up for success.

About the role

The Executive Assistant to the General Manager of People & Culture role will support the General Manager and their leadership team to coordinate and provide administrative support across all areas of People & Culture. This includes assisting with the preparation of high level briefs, papers, presentations, agendas, minutes, responses and submissions as required.

Other responsibilities will include but not limited to:

  • Supporting the People & Culture team with enquires for the GM, being the point of contact to guide enquiries and requests with open communication.
  • Support the drafting and preparation of complex documentation and correspondence including Executive papers, Board papers, business cases and internal and external communications.
  • Assist in the day to day operations and administration of the Group, on behalf of the GM.
  • Coordinating inputs to meetings (team, Executive, Board and Board committees) and follow up on required actions.
  • Provide guidance to the Group leadership team on the various paper review process; check that all papers meet corporate guidelines and are delivered on time and of a high quality. Provide feedback on papers as necessary.
  • Arrange travel and coordination of GM attendance at business meetings off site as required.
  • Use communication and event coordination skills to coordinate multiple stakeholders and suppliers to ensure seamless execution of communications, campaigns and general events and activities including sourcing speakers, arranging invites, collation of papers, formatting speech notes, preparation of slides.

About you

  • Minimum 5 years’ experience as Executive Assistant.
  • Diploma in Management or Business Administration and/or equivalent level of skills and knowledge gained from practical experience in a similar role.
  • An ability to work flexibly in a complex environment with multiple stakeholders.
  • Professional discretion and ability to maintain confidentiality.
  • Possessing a positive “can-do” attitude with great energy and a problem-solving mindset.
  • Have effective and clear communication skills, and the ability to interact with people at all levels of the organisation.
  • A team player who considers the team priorities as a whole, and is comfortable contributing ideas, suggestions and opportunities for improvement in group settings.
  • Excellent organisational skills with the ability to multitask and prioritise as required.
  • Demonstrated ability to effectively manage and respond to enquiries including contentious and emotive issues at a senior level in a sensitive and confidential manner.
  • Demonstrated experience in managing and operating in a complex environment using sound judgement in competing demands and tight deadlines under pressure.
  • Demonstrated experience in keyboard and computer skills, with advanced skills in the use of standard desktop applications.
