Location: Hybrid working with 3 days in the Parramatta office and 2 days working from home. One office day will involve site travel weekly or bi-weekly, depending on business needs. Site location will be within the Sydney metro area & considered based on your residence, with the option to use the Sydney Water pool car or expense mileage.

About the Role:

As the Business Project Officer you will be responsible for supporting our Project managers and Program Directors in delivering efficient administration services. You will manage the onboarding and offboarding processes, ensuring timely and accurate system access and maintaining data integrity. This role involves working closely with Regional Delivery Partners as well as internal teams such as IT, HR, contractors, and suppliers to ensure smooth operations across all levels of the project lifecycle.

You will thrive in a fast-paced, reactive environment, managing multiple tasks simultaneously with attention to detail and a focus on delivering excellent service outcomes.

 


Key Responsibilities:

Onboarding: Manage the seamless onboarding and offboarding of contractors and staff, ensuring correct system access, ID cards, office access, and other relevant materials.

Administration & Coordination: Support project teams by facilitating day-to-day coordination activities, including fleet management, access control, and managing communication with contractors and suppliers.

Senior Management Support: Manage reporting data, prepare presentations, briefing notes and coordinate communications to internal and external staff, and assist with diary management to ensure smooth scheduling and prioritization of key activities.

Stakeholder Engagement: Build strong relationships with Program Directors, Project Managers, contractors, and internal & external stakeholders, understanding their needs and providing tailored administrative support.

Data Management: Maintain accurate and up-to-date records for contractors, staff, and fleet management in systems like InEight Document, SWIM, Excel and Microsoft Office applications.

Problem-Solving: Proactively manage competing priorities, responding to urgent requests in a timely manner, and using your initiative to address issues as they arise.

 

 

About You

You will be a highly organised individual with a strong ability to work under pressure and manage competing priorities with ease. Your strong communication skills and ability to build and maintain relationships will be key, along with your capacity to make thoughtful and informed decisions when needed.

To succeed in this role, you’ll bring:

A Diploma in Business Administration, related discipline or equivalent experience. (Qualifications in Change Management and Lean Thinking or equivalent are desirable.)

Construction White Card & Site Travel: A valid construction white card is required, and 1 office day you’ll travel to site weekly or bi-weekly, depending on business needs. Location will be within the Sydney metro area & considered based on your residence, with the option to use the Sydney Water pool car from Parramatta office or expense mileage.

Experience: You bring a wealth of experience in administration and business services, supporting large complex project teams in industries such as Sydney water/Government and construction infrastructure.

Communication Skills: Your strong communication skills enable you to craft clear and professional presentations, briefing notes, and other materials, ensuring you can connect with people at all levels and tailor your message to suit the audience.

Technical Competency & Reporting Skills: Your proficiency in Excel and Microsoft Office enables you to manage data, create reports, and handle diary management with ease. You’ll use your technical skills to support the team effectively, ensuring smooth scheduling and coordination. Experience with systems like InEight Document and SWIM is a definite asset.
