We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and coordination support to our Executive General Manager of Water and Environment Services. This role is crucial in ensuring the smooth operation of our executive office and facilitating the achievement of our business goals. 

The ideal candidate will have excellent communication skills, a keen eye for detail, and the ability to handle multiple tasks with efficiency in an environment where a high degree of discretion and confidentiality is required. 

Your Day to Day Will Look Like:

  • Office Coordination: Coordinate day to day operations and administration of the group on behalf of the EGM  
  • Communication: Serve as the primary point of contact between the executive team and internal/external stakeholders. Handle confidential information with discretion.  
  • Project Assistance: Assist with special projects and initiatives, including research, data analysis, and report preparation.  
  • Executive Support: Manage executive calendars, schedule meetings, and coordinate travel arrangements. Prepare and edit correspondence, papers, reports, and presentations as needed 
  • Meeting Management: Organize and coordinate executive meetings, including preparation of agendas, taking minutes, and following up on action items 
  • Event Planning: Plan and coordinate company events, executive retreats, and other corporate functions. 

What You'll Bring:  

  • Diploma in Management or Business Administration and/or equivalent level of skills and knowledge gained from practical experience in a similar role. 
  • Minimum +5 years experience as an Executive Assistant. 
  • Demonstrated experience computer skills, with advanced skills in Microsoft 365.
  • Data literacy and strong analytical skills to drive decisions
  • Coordinate the provision of high quality, efficient and timely advice from leadership team to the Executive General Manager. 
  • Can-do, positive attitude who thrives in a dynamic and busy work environment
